5.14.2 Maintaining Up to Date Partner Overviews and Contact Lists

Effective coordination and communication rely on establishing and maintaining reliable contact information for all FSC stakeholders is a core IMO responsibility (unless there is dedicated staffing for this purpose). Having such detailed partner overviews also helps the Coordinator undertake key cluster functions and coordination activities.

Aside from including the standard contact list content (usually a simple excel sheet with name, title, agency, email and phone contact information, plus locations of field offices), it is a good practice to include information on type of cluster member (government, INGO, local NGO, CSO, red cross/crescent, observers, private sector) and have partner/members overviews with food security focal points, director/head of organisation/government department, project areas and the kind of assistance/services provided or planned. This allows the Coordinator to easily target different groups for different purposes, as needed. 

Separate overviews could be maintained for the FSC SAG and TWGs. To minimise the workload for FSC members, information can be extracted from the existing IM products (e.g. 5Ws).

What is the role of the FSC Coordinator? The FSC Coordinator is responsible for the technical supervision of the IMO(s) and therefore ultimately responsible for ensuring IM tasks are completed (for more on IMO roles and responsibilities overall, see 3.5.3). This includes ensuring partner contact list and overviews are up to date.
